QUALIFICATIONS:
- Proficient computer skills for a variety of applications to include Word, Excel, Publisher, Outlook, Credible, Susquehanna, and Client Track.
- Multi-task work load through various distractions/interruptions,
- Coordinate clerical work and customer care,
- Make and answer phone calls in a professional and courteous manner,
- Good Typing skills and able to type 30 to 40 words per minute,
- Knowledge to handle a multi-line phone system efficiently,
- Excellent communication & interpersonal skills.
RESPONSIBILITIES:
- Will be able to type from hand written copies as needed,
- Compile, organize and maintain files and scanning documents into Credible as needed,
- Proofread all typed copy for grammatical correctness as needed,
- Responsible for the compiling and forwarding monthly billing of all CIS Programs,
- Miscellaneous typing and drafting of letters, memos etc, as needed,
- Entering data into Credible system, i.e. Drop-In-Center hours, and update Drop-In Sign in sheets as needed,
- Responsible for calling and cancelling appointments when therapist must cancel and rescheduling the appointment into Credible,
- Will assist in calling to arrange transportation for clients that request transit,
- Responsible for scheduling registration appointments for all new clients for the group homes and CIS when Clerical Administrator is off or out of the office,
- Greets consumers and answers calls coming through the main phone system in a pleasant and helpful manner to ensure consumer satisfaction, takes accurate messages and ensures they are distributed to the proper staff person with the ability to screen incoming calls to the programs as needed,
- Enters information into Credible from the health questionnaires and scans the health questionnaires into Credible,
- Responsible for the HMIS Homeless Data Base and keeping it updated by performing/entering HMIS homeless assessments as needed,
- Receive and assess incoming homeless calls and homeless walk-ins as needed,
- Responsible for locking and unlocking building as needed,
- Assists with other Clerical Department duties when there is a backlog due to vacations and illnesses as needed,
- Is flexible in working past scheduled working hours, evening hours and or/Saturday hours, if required,
- Makes up mailboxes for new employees and removes all former staff as needed,
- Types error free letters and memos which are professional in appearance, and checks for proper format and grammar usage,
- Assists with photocopying materials upon request,
- Has the ability to send e-faxes, and send and retrieve e-mails,
- Responsible for picking up tokens at Shenango Valley Council, monthly,
- Responsible for tracking of tokens given out daily, weekly, and on a monthly basis and distributes tokens to the clients
- Responsible for opening and closing all clients in Credible for all CIS Program,
- Responsible for the fleet of vehicles, signing them out and scheduling repairs, inspections and associated equipment,
- Responsible for tracking all van transport rides on a weekly and monthly basis,
- Responsible for BHC Authorizations and uploading into Credible and forwarding to appropriate staff,
- Back-up for medical secretary when off during illness or vacations,
- Responsible for updating library list per Clerical Administrator when needed,
- Responsible for proficient use of all office equipment, phones, scanner copier, laminator, and PC,
- Will maintain and uphold CCC policies and respect confidentiality, exhibiting a professional demeanor at all times while at work,
- Will understand that any violation of CCC policies and procedures other his/her job duties will be subject to disciplinary action,
- Will perform other duties in her job setting when assigned,
- Can perform essential functions of the job with or without reasonable accommodations,
- Will participate in CCC CQI Program plant to ensure quality of service to consumers when necessary.
- Schedule and record vehicle cleaning weekly,
- Update HMIS client (s) profile information, assessments, and prioritization list records as needed,
- Responsible for entering patient transportation for D&A clients through Primary Health Network system,
- Responsible for taking employee and client temperatures,
- Responsible for entering the Café hours into Credible weekly.
- Maintain and uphold Community Counseling Center's policies, respect confidentiality, and exhibit a professional demeanor at all times while at work,
- Any violation of policies and procedures/job duties will be subject to disciplinary action,
- Performs other duties as assigned,
- Participates in CCC CQI plan to ensure quality of service to CCC consumers,
